Financial Statement

Member Recognition and Complaints

Member recognition (above and beyond) and member complaints will be considered before other business. This will allow members that are interested or involved with either to leave without having to sit thru the entire meeting.

Old Business

Items TABLED at the previous Board Meeting shall be placed as Old Business agenda items. Any item tabled more than once for lack of satisfactory forward motion by its sponsors or proponents is a candidate for dismissal.

Consent Agenda

Newly proposed agenda items appear in the consent agenda. Any member present at the meeting may pull an item out of the consent agenda for discussion, at which point it goes under "New Business". If nobody objects to the solutions presented by the consent agenda, everything in the consent agenda passes by consensus. Items that have more than one proposed solution should be moved to the "New Business" section.

Any member may edit this wiki page and place an item on the agenda. However, discussion of agenda items should be done via the forums. The cut-off time for addition to or revision of all agenda items is 48 hours prior to the meeting.

Please note, agenda items (Consent, New, or Old) that request spending $200 or more must include a section on "Relevance to our tax exempt purpose".

A capital equipment form (listed at the bottom of the Finance forms list) is required for all equipment purchase or lease exceeding $1000 for which funds are requested from the Board in part or total, at least two weeks in advance of the board meeting.

New Covid-19 Policies (Curtis Baker)

Problem: CDC Guidance for Covid-19 has come out

Solution: Apply new Covid-19 rules by recommended masks but not policing their usage, open class limits, and start open tours. Updated policy below:

Before coming to the space

  • If you are feeling sick do not come to the space
  • Take your temperature before leaving home. If it is 99 or greater, do not come to the space
  • If you have had a temperature of 99 or greater in the last 48 hours do not come to the space
  • Pack your own PPE and disinfectant wipes/cleaning products for use while at the space. DMS will not be providing these for personal use

Facemasks

Masks, while no longer required for members, are highly recommended both inside the space and while on the grounds. This includes the front entrance patio areas and the ramps, dumpsters and bay door areas.

In addition:

  • Teachers may require masks to be worn by all students
  • Teachers and students must still follow all posted rules/signage within a given work or committee area

Social Distancing

Social Distancing, while no longer required for members, is highly recommended both inside the space and while on the grounds. This includes the front entrance patio areas and the ramps, dumpsters and bay door areas.

In addition:

  • Teachers may require social distancing from all students
  • Teachers and students must still follow all posted rules/signage within a given work or committee area

Things the Makerspace will not supply during the current COVID-19 restriction period

  • Project storage and the ice machine in the galley will remain closed until we have volunteers and a plan to manage them.
  • Disinfectant wipes/cleaning products

Contractors and service people

All contractors and vendors will be required to wear a mask when visiting or working at the space.

Tours

Group, individual, and open tours are now re-opened at the DMS. Tours will be held from 10am - 2pm on Saturdays. Masks are required for Saturday group tour participants. One-on-one tour guides may require masks if desired.

Enforcement of rules

All members are expected to continue our ethos of “Be Excellent to Each Other”. This includes mask wearing and social distancing. Harassment of members/guests because of their masking choices is in direct violation of our Anti-Harassment Policy. Deliberately preventing others from social distancing is also a violation of the Anti-Harassment Policy. If anyone feels that they have been subjected to harassment, please contact a DMS Officer or a Director.

Relevance: Relax restrictions to allow further opening of the space.

Sell Former Hatcher's Equipment (Tails Hartnett)

Problem: Despite being dissolved as a committee, Hatcher's old room is still full of equipment. The fire marshal put a restriction on reloading at DMS years ago, and with the equipment lingering we have both wasted space and assets that cannot be used.

Solution: Sell the reloading supplies from Hatcher's. Proceeds can be used towards other goals at DMS

New Business

Agenda items should be placed in New Business if there is any expectation of discussion by the Board or others in attendance during the meeting.

Rates for Returning Members (Julie Harris)

Problem: A policy is needed to give old rates back to people who are returning after the pandemic.

Solution: Former members who left between March 1, 2020 and March 31, 2021 and who are returning after the pandemic may rejoin and email [email protected] before August 31, 2021 to receive their old rate.

Filter Purchase for Wood Shop (Julie Harris on behalf of Ian Lee)

Problem: The Felder dust collector needs new internal filters every 12-18 months based off our use. We are at / past that timeframe.

Solution: Purchase new filters:

30 filters X $210 each = $6,300

Shipping was quoted at $343.97 for a total of $6,643.97

Reinstate Freebie Shelf (Beth Appleton)

Problem: People like to give things away, but we need a management solution.

Solution: I feel that this is a low-effort area. I personally volunteer to manage it. I will: review the shelf weekly. No item will stay longer than a month. If the shelf becomes too full in a shorter time period, older items will be purged at that time. I propose that it stay where it is for the time being. That's not the best place, but neither is it the worst.

Items will be tagged on a weekly basis, using color-coded flags. Items will be removed on a weekly basis, after they have been here for 4 weeks. Current thought says the week will run Monday to Sunday, with Sunday pm being the time of tossing. If the shelf is overflowing, removal may be done sooner.

Banned items: Preliminary list: Hazardous material -- no flammable, or acid items. No used oil or auto parts (I know where to recycle these -- better if they do it themselves). No expired food.
